Once the automated messages template has been created, it must be assigned a rule to trigger automatic sending.
An automated messages rule involves assigning the appropriate trigger from the list of available triggers.
Each rule includes four key elements to ensure automatic sending:
- the automated messages template
- the trigger
- the office
- the reservation platform
N.B.: For each rule, you can only select one office and one reservation platform at a time. You will need to add a separate rule for each template, office, and platform, if necessary.
Add a rule
From the main menu, go to Configuration > Templates > Automated messages
For each template, in the Action column, click on ... > Add a rule
Complete the form:
- The selected automated messages template is displayed by default
- Add the corresponding trigger for the template
- Add the office for which the message will be sent to guests
- Add the reservation platform for which the message will be sent to guests
Click on Submit to add the rule.
N.B: Once the rule is added, the message template is automatically triggered for reservations made through the selected office and platform.
Example:
For the ARRIVAL trigger, I have two messages templates: RENTALREADY_ARRIVAL and RENTALREADY_ARRIVAL_OTHER.
I want to send them on Airbnb, Booking.com, and my direct booking website (RENTALREADY WEBSITE) for the offices RENTALREADY-FR and RENTALREADY-PT. I need to create 6 rules associated with the ARRIVAL trigger:
- RENTALREADY_ARRIVAL, ARRIVAL, RENTALREADY-FR, AIRBNB
- RENTALREADY_ARRIVAL, ARRIVAL, RENTALREADY-FR, BOOKING
- RENTALREADY_ARRIVAL_OTHER, ARRIVAL, RENTALREADY-FR, RENTALREADY WEBSITE
- RENTALREADY_ARRIVAL, ARRIVAL, RENTALREADY-PT, AIRBNB
- RENTALREADY_ARRIVAL, ARRIVAL, RENTALREADY-PT, BOOKING
- RENTALREADY_ARRIVAL_OTHER, ARRIVAL, RENTALREADY-PT, RENTALREADY WEBSITE
Manage rules
From the main menu, go to Configuration > Templates > Automated messages
For each template, on the Rules column, you can find information about the rules.
Template statuses
Each template has a status depending on whether rules have been assigned or not.
| Status | Meaning |
| Enabled | At least one rule is added. The template is therefore automatically sent for at least one office and one reservation platform. |
| Disabled | No rules are added. The template is never sent automatically. |
Rules list
To view the list of rules assigned to a template, in the Rules column, click Manage X rules.
You cannot edit a rule. If you wish to change it, you must delete it and create it again.
Delete a rule
From the main menu, go to: Configuration > Templates > Automated messages
For each template, in the Rules column, click Manage X rules
In the Actions column, click ... > Delete
