Once you have access to AI agents, you can build your first agent in a few minutes.
Before starting
- You need the Manage AI agents permission. If you don't see the menu, ask your account administrator to grant it in your staff user permissions.
- An agent can only use a capability if you hold the matching permission yourself (for example, access to call recordings to read call transcripts).
Create an agent
You can create an AI agent from a template or from scratch.
From the main menu, go to AI Suite > AI Agents
Click on +New agent
Start from a template
Select a template, for example Review Response
Adjust the instructions if needed, then follow the steps below to test and activate it
Start from scratch
Click on Create from scratch
In the builder, describe the task in plain language: what the agent should do, for which offices or properties, and what it should do when something needs your attention.
The builder turns your description into an agent. Review the result and ask for changes in the chat until it matches what you need.
Example: "Every morning at 8:00, send me an email with today's arrivals, open tickets and unanswered guest messages for office PARIS."
Capabilities
Grant only the capabilities the agent needs for its task. For example, a morning briefing needs to read reservations, issues and messages and to send emails, but not to send messages to guests.
Triggers
Choose when the agent runs:
- Event: a review comes in, a reservation is modified
- Schedule: a time and a frequency (for example, every day at 8:00)
- Manual: only when you start it
Test the agent
Before activating, run a test on real data. You can see what the agent would do, step by step, without anything being sent.
Save and activate
- Save the agent as a draft to keep working on it later
- Activate it when you are happy with the test results
N.B.: By default, any guest-facing message waits for your approval. You can enable auto-send for a specific agent; it then sends within its rate limits. Financial and destructive actions always require approval, even with auto-send.
